Roots is more than an event - it’s a living village built on devotion, trust, and collaboration.

Held on Dharug Country  (Webbs Creek, NSW), Roots Women’s Embodiment Festival is a transformational gathering of over 500 women reconnecting to sisterhood, body wisdom, cyclical living, and the sacred.

But behind every sacred moment is a system — held by humans who care deeply about the container. As Volunteer Coordinator, you’ll hold one of the most vital threads of the Roots web: the volunteers who make the dream real.

The Role

We’re calling in three reliable, grounded, and compassionate Volunteer Coordinators to steward a team of ~20 volunteers in one of three areas: Spaces, Site Management, or Sustainability/Sanitation.

Your team will support the lifeblood of the Festival - from bump in/out, production assistance, waste organisation, and daily space care, through to communal dinner serving.

As Coordinator, you’ll guide with presence and clarity, fostering a culture of mutual respect, joyful teamwork, and clear delegation of tasks.

This role is perfect for a woman who is calm under pressure, naturally organised, and skilled at guiding others toward a shared vision with both heart and fairness.

Key Responsibilities

  • Volunteer Management

    • Guide a team of ~20 volunteers ensuring volunteers know their shift times, roles, and expectations

    • Create a sense of unity, value, and inspiration among the volunteer team

    • Pre-Event Admin & Meetings to address needs, swap shifts where necessary, and keep morale high

  • On-Site Support

    • Be available via radio to respond to live requests and problem-solve in the moment

    • Step into Space Co-Ordinator roles as needed during their breaks to support facilitators (mic setup, music connection, timekeeping)

    • Check in with volunteer zones across the day, offering support and direction

  • Communication & Leadership

    • Maintain a calm and fair leadership style — equal parts organised and empathetic

    • Lead from a place of service, inspiring volunteers to feel part of something meaningful

    • Liaise with Decor Leads and Operations Team to distribute volunteer help during key windows

Who You Are

  • You’ve managed teams or volunteer groups before — you’re confident in leadership, delegation, and people care

  • You’re naturally organised, a clear communicator, and know how to keep track of multiple moving parts

  • You can hold steady in the unknown — responding to last-minute changes with clarity and composure

  • You value fairness, community, and a shared sense of purpose

  • You have basic tech awareness (mic/headset setup, phone-to-speaker connections, volume control) or are quick to learn

  • You lead with kindness, efficiency, and a steady grounded presence

You embody the Roots Principles

  • Safety: You honour each volunteer’s contribution with compassion, patience, and clarity

  • Synergy: You collaborate seamlessly with Space Co-Ordinators, Operations, and Decor Leads

  • Sacred: You understand that even sweeping a floor or setting up dinner is sacred service in the Roots village

Bonus Skills (not required, but valued)

  • Festival or event coordination experience

  • Team rostering or scheduling experience

  • Experience in women’s spaces, embodiment events, or healing containers

  • First-hand experience at Roots (as a participant or team member)
