Held annually on Dharug Country (Webbs Creek, NSW), Roots Women’s Embodiment Festival brings together 600+ women to move, rest, rage, release, and rewild in sisterhood. Here, the feminine is not a brand… she is a force. Roots is what happens when women return to their bodies and the earth.

From the outside, it may look like a beautifully curated event - but behind the scenes, it runs on clear communication, spreadsheets that make you juicy, smooth operations, and wise-woman presence.

That’s where you come in.

The Role

We’re seeking a grounded, highly organised, and compassionate Admin Coordinator to help hold the back-end bones of Roots with care and clarity.

This role is ideal for someone who thrives behind the scenes, who takes joy in systems and spreadsheets, and who knows the impact that smooth admin has on creating a powerful, nourishing experience for our community.

You’ll work closely with our Event Director and Operations Manager, helping to ensure all logistics, communications, and volunteer coordination flow with ease.

This role may expand in future to the Community Management of our Online Network, Mycelium.

This role is perfect for a woman who can hold the pulse of a communications, spreadsheets, systems and technologies and without losing her centre.

Key Responsibilities

Inbox & Admin Support

  • 1x Online meeting per week with the wider team in the 6 week lead up to the event

  • Respond to email and website enquiries with clarity, warmth, and discernment

  • Manage ticketing questions, name changes, refund requests, and Humanitix logistics pre- and post-event

  • Manage community communications inside our online network, Mycelium

  • Support Event Director in administration tasks

  • Website Maintenance & Communications

    • Make light updates in Squarespace (copy, schedules, info)

    • Communicate clearly with the Roots community regarding updates, FAQs, and access needs

  • Volunteer Roster Support

    • Support Operations Manager with Volunteer Roster using Google Sheets

    • Support on emailing and comms with volunteers with their roles, shifts, and reminders

    • Support Operations Manager to ensure all shifts are filled before the festival (onsite Volunteer Coordinators will take over once we begin)

  • Ticketing & Systems

    • Manage the backend of Humanitix for resales, transfers, and tracking attendee details

    • Maintain smooth internal systems across Google Drive, Docs, and Sheets

Keep calm presence and compassionate communication when troubleshooting or managing tight timelines

Who You Are

  • You’re detail-oriented, self-motivated, and love creating clean systems that support people to thrive

  • You’re confident using Google Suite, Squarespace, and (ideally) Humanitix

  • You have experience in volunteer rostering or team coordination

  • You’re an excellent communicator – both in crafting kind, clear emails and in managing logistics

  • You love being the calm centre in a flurry of moving parts

  • You believe that administration is sacred service – and you approach each message, spreadsheet, and task with care

  • You’re on the ball, thoughtful, reliable, and capable of working independently

    Bonus if you’ve attended Roots before or have experience working in transformational, earth-based, or embodiment events

Bonus Skills (Not Required, But Valued)

  • Humanitix ticketing platform experience

  • Google Sheets wizardry – formulas, conditional formatting, automations

  • Squarespace backend knowledge & experience

  • Experience in project or event admin for retreats, festivals, or community-led events

  • An eye for gentle, well-written, heart-led communication
